These General Terms and Conditions of Sale (GTCS) define the terms of reservation, payment, and use of booth spaces offered to exhibitors within the framework of LGX – Luxembourg Geek Xperience, organized by Press Play Sàrl.

Booking a stand space implies full and unconditional acceptance of these General Terms and Conditions of Sale (GTCS).

Several stands formats are offered, tailored to the needs of each exhibitor

• Bare stand : floor space marked out (without structure or equipment)
• Equipped stand : space + structure (partitions, signage, furniture depending on the offer)
• Additional options : table(s), chair(s), electricity, structure(s)

Exact dimensions, prices, and contents are detailed in the reservation form or exhibitor’s file.

3.1 Terms

All stand requests must be made via the official stand request form available on the lgx.lu website or provided by the LGX team.

3.2 Confirmation

Reservations are only confirmed after validation by the organizer and receipt of full payment (unless otherwise agreed in writing). The organizer reserves the right to refuse any request if the proposed activity is unsuitable for the event or if previous conditions are not met.

4.1 Pricing

Prices are indicated in euros, excluding taxes (VAT to be added if applicable), and may include :

• The right to occupy the space
• Basic services (access, security, exhibitor badge)
• Provided equipment (depending on the chosen option)

4.2 Payment

Payment is due immediately after the request is validated. Payment definitively confirms participation.

Accepted payment methods: bank transfer or online payment.

5.1 By the Exhibitor

• More than 61 days before the event: refund possible (minus administrative fees)
• Between 60 and 30 days before the event : 50% refund
• Less than 30 days before the event: no refund
• No-show without notification = exclusion from future editions

5.2 By the organizer

In case of event cancellation due to force majeure (health crisis, administrative decision, etc.), the organizer will offer :

• A postponement
• Or a partial or full refund, depending on expenses incurred

• The exhibitor agrees to respect the installation, opening, and dismantling schedules provided by the organizer.
• They must keep their stand operational throughout the public duration of the event.
• Any subletting, resale, or unauthorized occupation is prohibited.

• The exhibitor is solely responsible for their equipment, staff, and products.
• It is recommended to take out professional liability insurance covering participation in the event.
• Press Play Sàrl declines all responsibility in case of theft, loss, or damage to the exhibited equipment.

The exhibitor also commits to respecting the event’s internal rules, communicated prior to the event (logistics, security, accessibility, conduct, prohibitions, etc.).

The data collected through the registration form is processed by Press Play Sàrl as part of the organization of LGX. It is neither sold nor shared with third parties without authorization.

These General Terms and Conditions of Sale are governed by Luxembourg law. In case of dispute, an amicable solution will be sought as a priority.
Failing that, the courts within the jurisdiction of Luxembourg shall have exclusive competence.
