Artists and Creators<\/a>\n\t\t\t\t\t<\/h3>\n\n\t\t\t\t\t<div id=\"elementor-tab-content-2021\" class=\"elementor-tab-content elementor-clearfix\" data-tab=\"1\" role=\"region\" aria-labelledby=\"elementor-tab-title-2021\"><p>This appendix applies to exhibitors registered under the \"Artists\" or \"Creators\" category, meaning anyone presenting original or derivative works (prints, illustrations, fanzines, handmade objects, etc.).<\/p><h4>A1.1 Original Works and Fan Art<\/h4><ul><li class=\"p1 translation-block\">All creations must be made by the exhibitor or a clearly identified collective.<\/li><li class=\"p1\">Fan art is permitted provided it is not a direct reproduction or plagiarism of official works. Merchandising Exhibitors<\/a>\n\t\t\t\t\t<\/h3>\n\n\t\t\t\t\t<div id=\"elementor-tab-content-2022\" class=\"elementor-tab-content elementor-clearfix\" data-tab=\"2\" role=\"region\" aria-labelledby=\"elementor-tab-title-2022\"><p class=\"p1\">This appendix applies to any exhibitor selling commercial products (new or second-hand), such as merchandise, clothing, games, decorative items, or other goods derived from pop culture.<\/p><h4 class=\"p2\">A2.1 Legal and Tax Obligations<\/h4><ul><li class=\"p1\">Exhibitors must comply with all applicable Luxembourg laws, particularly regarding VAT, invoicing, and intellectual property.<\/li><li class=\"p1\">Merchants must be able to provide a valid VAT number or proof of professional activity.<\/li><li class=\"p1\">In case of inspection, LGX accepts no responsibility for the exhibitor\u2019s tax or customs obligations.<\/li><\/ul><h4>\u00a0<\/h4><h4 class=\"p2\">A2.2 Permitted and Prohibited Products<\/h4><ul><li class=\"p2\">Permitted : Original, official, or handcrafted products, provided copyright and licensing rights are respected.<\/li><li class=\"p2\">Prohibited : counterfeits, unlicensed copies, pirated products, or any items lacking required legal markings.<\/li><li class=\"p2\">In case of doubt, the organizers may demand the immediate removal of the product and\/or proof of compliance.<\/li><\/ul><h4>\u00a0<\/h4><h4 class=\"p2\">A2.3 Imitation Weapons and Sensitive Items<\/h4><ul><li class=\"p1\">Decorative weapons (katanas, shurikens, replicas, etc.) are permitted under the following conditions :<ul><li>They must be non-sharp<\/li><li>They may only be sold to adults<\/li><li>They must be packaged after purchase and may not be worn inside the convention<\/li><\/ul><\/li><li class=\"p1\">The exhibitor is responsible for any required formalities with police or customs authorities.<\/li><\/ul><h4>\u00a0<\/h4><h4 class=\"p2\">A2.4 Lucky Bags and Mystery Packs<\/h4><ul><li class=\"p1\">The sale of \u201clucky bags\u201d is allowed under the following conditions :<ul><li class=\"p1\">The contents must match the theme of the convention<\/li><li class=\"p1\">The value must not be misleading<\/li><li class=\"p1\">A prior declaration must be submitted to LGX if requested<\/li><\/ul><\/li><li class=\"p1\">LGX reserves the right to ban any item deemed abusive, dangerous, or inconsistent with the event\u2019s image.<\/li><\/ul><h4>\u00a0<\/h4><h4 class=\"p2\">A2.5 Stand Display and Use of Space<\/h4><ul><li class=\"p1\">Products must be displayed neatly, with visible pricing.<\/li><li class=\"p1\">No materials may extend beyond the rented booth space.<\/li><li class=\"p1\">Unstable, hazardous structures or anything obstructing neighboring stands are strictly prohibited.<\/li><li class=\"p1 translation-block\">All merchants must follow the setup and teardown rules outlined in Article 4.<\/li><\/ul><h4>\u00a0<\/h4><h4 class=\"p2\">A2.6 Responsibility Reminder<\/h4><ul><li class=\"p2\">The exhibitor is solely responsible for all products sold at their booth.<\/li><li class=\"p2\">LGX assumes no liability in case of commercial disputes or post-sale issues with visitors.<\/li><\/ul><\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t\t\t<div class=\"elementor-toggle-item\">\n\t\t\t\t\t<h3 id=\"elementor-tab-title-2023\" class=\"elementor-tab-title\" data-tab=\"3\" role=\"button\" aria-controls=\"elementor-tab-content-2023\" aria-expanded=\"false\">\n\t\t\t\t\t\t\t\t\t\t\t\t<span class=\"elementor-toggle-icon elementor-toggle-icon-right\" aria-hidden=\"true\">\n\t\t\t\t\t\t\t\t\t\t\t\t\t\t\t<span class=\"elementor-toggle-icon-closed\"><svg class=\"e-font-icon-svg e-fas-plus\" viewbox=\"0 0 448 512\" xmlns=\"http:\/\/www.w3.org\/2000\/svg\"><path d=\"M416 208H272V64c0-17.67-14.33-32-32-32h-32c-17.67 0-32 14.33-32 32v144H32c-17.67 0-32 14.33-32 32v32c0 17.67 14.33 32 32 32h144v144c0 17.67 14.33 32 32 32h32c17.67 0 32-14.33 32-32V304h144c17.67 0 32-14.33 32-32v-32c0-17.67-14.33-32-32-32z\"><\/path><\/svg><\/span>\n\t\t\t\t\t\t\t\t<span class=\"elementor-toggle-icon-opened\"><svg class=\"elementor-toggle-icon-opened e-font-icon-svg e-fas-minus\" viewbox=\"0 0 448 512\" xmlns=\"http:\/\/www.w3.org\/2000\/svg\"><path d=\"M416 208H32c-17.67 0-32 14.33-32 32v32c0 17.67 14.33 32 32 32h384c17.67 0 32-14.33 32-32v-32c0-17.67-14.33-32-32-32z\"><\/path><\/svg><\/span>\n\t\t\t\t\t\t\t\t\t\t\t\t\t<\/span>\n\t\t\t\t\t\t\t\t\t\t\t\t<a class=\"elementor-toggle-title\" tabindex=\"0\">A3. Institutional, Experiential &amp; Thematic Exhibitors<\/a>\n\t\t\t\t\t<\/h3>\n\n\t\t\t\t\t<div id=\"elementor-tab-content-2024\" class=\"elementor-tab-content elementor-clearfix\" data-tab=\"4\" role=\"region\" aria-labelledby=\"elementor-tab-title-2024\"><p class=\"p1\">This appendix applies to exhibitors participating in a non-commercial capacity, including institutional, educational, cultural, technological, or interactive entities, as well as any organization featured in a thematic area (e.g. gaming, kids, pop culture, educational, immersive zones, etc.).<\/p><h4 class=\"p2\">A4.1 Stand Objective and Content<\/h4><ul><li class=\"p1\">The primary objective of the stand must be educational, promotional, experiential, or participatory in nature, aligned with LGX\u2019s core themes: innovation, geek culture, digital creativity, learning, family, etc.<\/li><li class=\"p1\">Product sales are not permitted by default, unless explicitly stated in the agreement.<\/li><li class=\"p1\">Distribution of materials (flyers, freebies, contests, sign-ups) must be non-intrusive and focused on enhancing the visitor experience.<\/li><\/ul><h4>A4.2 Visibility, Branding and Equipment<\/h4><ul><li class=\"p1\">Institutional partners may benefit from customized visibility options (signage, screens, stage presence, logo displays, branded materials), as defined in their partnership package.<\/li><li class=\"p1\">All equipment provided by LGX (furniture, screens, booth structures) must be returned in good condition.<\/li><li class=\"p1\">Installation of specific technical equipment (e.g. interactive terminals, simulators, video games) must be pre-approved and comply with safety and space regulations outlined in the general rules.<\/li><\/ul><h4 class=\"p2\">A4.3 Programming and Staffing<\/h4><ul><li class=\"p1\">The stand must be staffed by trained, active, and easily identifiable personnel throughout all public opening hours.<\/li><li class=\"p1\">Any activity offered (games, workshops, demos, awareness campaigns, etc.) must be safe, well-managed, and adapted to high-traffic zones, especially in family-focused or esports areas.<\/li><\/ul><h4 class=\"p2\">A4.4 Respect for the LGX Environment<\/h4><ul><li class=\"p1\">Institutional or thematic exhibitors agree to uphold the spirit and values of LGX : accessibility, inclusion, positive education, and geek culture.<\/li><li class=\"p1\">Any activation deemed disruptive, overly aggressive, or misaligned with the event\u2019s atmosphere may be halted without refund.<\/li><\/ul><\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t\t\t<div class=\"elementor-toggle-item\">\n\t\t\t\t\t<h3 id=\"elementor-tab-title-2025\" class=\"elementor-tab-title\" data-tab=\"5\" role=\"button\" aria-controls=\"elementor-tab-content-2025\" aria-expanded=\"false\">\n\t\t\t\t\t\t\t\t\t\t\t\t<span class=\"elementor-toggle-icon elementor-toggle-icon-right\" aria-hidden=\"true\">\n\t\t\t\t\t\t\t\t\t\t\t\t\t\t\t<span class=\"elementor-toggle-icon-closed\"><svg class=\"e-font-icon-svg e-fas-plus\" viewbox=\"0 0 448 512\" xmlns=\"http:\/\/www.w3.org\/2000\/svg\"><path d=\"M416 208H272V64c0-17.67-14.33-32-32-32h-32c-17.67 0-32 14.33-32 32v144H32c-17.67 0-32 14.33-32 32v32c0 17.67 14.33 32 32 32h144v144c0 17.67 14.33 32 32 32h32c17.67 0 32-14.33 32-32V304h144c17.67 0 32-14.33 32-32v-32c0-17.67-14.33-32-32-32z\"><\/path><\/svg><\/span>\n\t\t\t\t\t\t\t\t<span class=\"elementor-toggle-icon-opened\"><svg class=\"elementor-toggle-icon-opened e-font-icon-svg e-fas-minus\" viewbox=\"0 0 448 512\" xmlns=\"http:\/\/www.w3.org\/2000\/svg\"><path d=\"M416 208H32c-17.67 0-32 14.33-32 32v32c0 17.67 14.33 32 32 32h384c17.67 0 32-14.33 32-32v-32c0-17.67-14.33-32-32-32z\"><\/path><\/svg><\/span>\n\t\t\t\t\t\t\t\t\t\t\t\t\t<\/span>\n\t\t\t\t\t\t\t\t\t\t\t\t<a class=\"elementor-toggle-title\" tabindex=\"0\">A5. Three-Year Partnership Agreement<\/a>\n\t\t\t\t\t<\/h3>\n\n\t\t\t\t\t<div id=\"elementor-tab-content-2025\" class=\"elementor-tab-content elementor-clearfix\" data-tab=\"5\" role=\"region\" aria-labelledby=\"elementor-tab-title-2025\"><p class=\"p1\">Cette annexe s\u2019adresse aux exposants ayant souscrit un engagement de partenariat sur trois \u00e9ditions cons\u00e9cutives de LGX (2026, 2027 et 2028).<\/p><h4 class=\"p2\">A5.1 Conditions of the Triennial Commitment<\/h4><ul><li class=\"p1\">The exhibitor benefits from a progressive discount applied to the base stand price :<ul><li class=\"p1\">5% for the 2026 edition;<\/li><li class=\"p1\">10% for the 2027 edition<\/li><li class=\"p1\">15% for the 2027 edition<\/li><\/ul><\/li><\/ul><ul><li class=\"p1\">This commitment must be formalized in writing and may be included in the reservation contract or in a separate signed agreement.<\/li><\/ul><h4>\u00a0<\/h4><h4 class=\"p2\">A5.2 Automatic Renewal and Priority Booking<\/h4><ul><li class=\"p1\">The exhibitor receives priority access to a stand of equal or larger size within a thematically appropriate zone, subject to the new annual floor plan validation.<\/li><li class=\"p1\">An early pre-reservation can be activated during the current LGX event via signature or payment of a deposit.<\/li><li class=\"p1\">This priority remains valid until November 30 following the respective edition. After that date, the location may be reassigned at the organizer\u2019s discretion, based on scenography and layout needs.<\/li><li class=\"p1\">The organization reserves the right to change the overall layout from year to year to enhance the visitor experience. Les produits 100 % d\u00e9riv\u00e9s (ex : affiches d\u2019anime sans cr\u00e9ation ajout\u00e9e) sont interdits. \u00a0 A1.2 Contenus sensibles (NSFW, R18, violence) Les oeuvres \u00e0 caract\u00e8re sexuel explicite, suggestif ou violent doivent \u00eatre strictement dissimul\u00e9es du regard du public. Elles ne peuvent \u00eatre montr\u00e9es qu&rsquo;\u00e0 la demande express d&rsquo;un visiteur adulte, avec contr\u00f4le d&rsquo;\u00e2ge. Il est interdit de rendre ces oeuvres visibles sur les murs, les bacs ouverts ou les pr\u00e9sentoirs g\u00e9n\u00e9raux. \u00a0 A1.3 Vente et pr\u00e9sentation Les produits doivent \u00eatre clairement \u00e9tiquet\u00e9s avec un prix visible. Les quantit\u00e9s pr\u00e9sent\u00e9es doivent rester coh\u00e9rentes avec un stand artisanal. Toute activit\u00e9 proche du commerce de gros pourra \u00eatre requalifi\u00e9e. L&rsquo;exposant est responsable de la qualit\u00e9 et de la conformit\u00e9 des mat\u00e9riaux utilis\u00e9s. \u00a0 A1.4 Respect de l&rsquo;espace et voisinage Les stands doivent respecter les dimensions pr\u00e9vues dans la fiche exposant. L&rsquo;usage de structures de grande hauteur, d&rsquo;\u00e9l\u00e9ments lumineux ou de supports encombrants doit \u00eatre valid\u00e9 au pr\u00e9alable. Le volume sonore ou visuel ne doit pas perturber les autres exposants. A1.5 Comportement et gestion du public Les artistes sont tenus de rester accueillants, disponibles et respectueux durant toute la dur\u00e9e d&rsquo;ouverture. Toute forme de harc\u00e8lement, de propos d\u00e9plac\u00e9s ou de comportement inappropri\u00e9 entra\u00eenera l&rsquo;exclusion imm\u00e9diate. A2. Exposants marchands Cette annexe s\u2019applique \u00e0 tout exposant proposant \u00e0 la vente des produits commerciaux (neufs ou d\u2019occasion), de type goodies, v\u00eatements, jeux, objets d\u00e9coratifs ou d\u00e9riv\u00e9s de la pop culture. A2.1 Obligations fiscales et l\u00e9gales L\u2019exposant est tenu de respecter la l\u00e9gislation en vigueur au Luxembourg, notamment en mati\u00e8re de TVA, de facturation, et de propri\u00e9t\u00e9 intellectuelle. Les marchands doivent \u00eatre en mesure de fournir un num\u00e9ro de TVA valide ou un justificatif d\u2019activit\u00e9 professionnelle. En cas de contr\u00f4le, LGX se d\u00e9gage de toute responsabilit\u00e9 concernant les obligations fiscales ou douani\u00e8res de l\u2019exposant. \u00a0 A2.2 Produits autoris\u00e9s et interdits Sont autoris\u00e9s : produits originaux, officiels ou artisanaux sous r\u00e9serve de respect des droits d\u2019auteur et de licence. Sont interdits : contrefa\u00e7ons, copies non autoris\u00e9es, produits pirat\u00e9s ou ne portant pas les mentions l\u00e9gales n\u00e9cessaires. En cas de doute, l\u2019organisation pourra exiger le retrait imm\u00e9diat du produit et\/ou une preuve de sa conformit\u00e9. \u00a0 A2.3 Armes factices et objets sensibles Les armes d\u00e9coratives (katanas, shurikens, r\u00e9pliques\u2026) sont tol\u00e9r\u00e9es sous r\u00e9serve : qu\u2019elles soient non tranchantes qu\u2019elles soient vendues uniquement aux personnes majeures, qu\u2019elles soient emball\u00e9es apr\u00e8s achat et non port\u00e9es dans l\u2019enceinte du salon. L\u2019exposant est responsable du respect des formalit\u00e9s \u00e9ventuelles aupr\u00e8s de la police ou des douanes. \u00a0 A2.4 Lucky bags et sacs surprises La vente de \u201clucky bags\u201d est autoris\u00e9e \u00e0 condition que : leur contenu reste coh\u00e9rent avec la th\u00e9matique du salon, leur valeur ne soit pas trompeuse, le stand envoie une d\u00e9claration pr\u00e9alable \u00e0 LGX si demand\u00e9. LGX se r\u00e9serve le droit d\u2019interdire tout lot jug\u00e9 abusif, dangereux ou non conforme \u00e0 l\u2019image de l\u2019\u00e9v\u00e9nement. \u00a0 A2.5 Pr\u00e9sentation et occupation du stand Les produits doivent \u00eatre pr\u00e9sent\u00e9s proprement, avec des prix visibles. L\u2019encombrement hors de l\u2019espace lou\u00e9 est interdit. Les structures instables, dangereuses ou bloquant la visibilit\u00e9 des stands voisins sont prohib\u00e9es. Tout marchand s\u2019engage \u00e0 respecter les r\u00e8gles g\u00e9n\u00e9rales d\u2019installation et de d\u00e9montage pr\u00e9vues dans l\u2019article 4. \u00a0 A2.6 Rappel sur la responsabilit\u00e9 L\u2019exposant marchand est responsable de tout produit vendu sur son stand. LGX se d\u00e9gage de toute responsabilit\u00e9 en cas de litige commercial ou post-achat avec un visiteur. A3. Exposants food Cette annexe s\u2019adresse aux exposants proposant de la restauration ou des boissons \u00e0 emporter, qu\u2019il s\u2019agisse de foodtrucks, stands fixes ou concepts de d\u00e9gustation. A3.1 Obligations sanitaires et administratives L\u2019exposant food doit \u00eatre en possession de toutes les autorisations l\u00e9gales en mati\u00e8re d\u2019hygi\u00e8ne, de vente alimentaire et d\u2019exploitation mobile au Luxembourg. Il est seul responsable de la conformit\u00e9 de ses installations aux normes HACCP et de la s\u00e9curit\u00e9 alimentaire de ses produits. L\u2019organisation peut demander une copie des autorisations ou attestations sur simple demande. \u00a0 A3.2 Raccordements et installations techniques Toute demande de raccordement \u00e9lectrique ou d\u2019acc\u00e8s \u00e0 l\u2019eau doit \u00eatre formul\u00e9e en amont. L\u2019utilisation de bouteilles de gaz ou d\u2019\u00e9quipements \u00e0 flamme est strictement interdite sans autorisation sp\u00e9cifique de Luxexpo. Le foodtruck ou le stand doit \u00eatre stable, s\u00e9curis\u00e9, propre et respecter les normes de ventilation et de temp\u00e9rature de conservation. \u00a0 A3.3 Pr\u00e9sentation, hygi\u00e8ne et d\u00e9chets Le personnel du stand doit \u00eatre v\u00eatu de fa\u00e7on adapt\u00e9e, avec gants et protections si n\u00e9cessaire. La zone de service doit rester propre, sans d\u00e9chets visibles ni stockage apparent non s\u00e9curis\u00e9. Chaque exposant est responsable de ses propres d\u00e9chets, y compris en mati\u00e8re d\u2019huiles, cartons et contenants alimentaires. Une p\u00e9nalit\u00e9 pourra \u00eatre appliqu\u00e9e en cas de non-respect des r\u00e8gles d\u2019\u00e9vacuation ou de salissure des abords du stand. \u00a0 A3.4 Vente, \u00e9chantillons et affichage des prix Les prix doivent \u00eatre clairement affich\u00e9s sur le stand. La distribution d\u2019\u00e9chantillons gratuits est tol\u00e9r\u00e9e dans la limite d\u2019un respect strict des r\u00e8gles d\u2019hygi\u00e8ne. Toute activit\u00e9 de d\u00e9gustation gratuite doit \u00eatre d\u00e9clar\u00e9e \u00e0 l\u2019organisation. \u00a0 A3.5 S\u00e9curit\u00e9 et responsabilit\u00e9 LGX d\u00e9cline toute responsabilit\u00e9 en cas de probl\u00e8me sanitaire, intoxication ou accident alimentaire li\u00e9 \u00e0 un produit distribu\u00e9 ou vendu sur le stand. L\u2019exposant est seul responsable de la qualit\u00e9, de la tra\u00e7abilit\u00e9 et de la conformit\u00e9 de ses produits.. A4. Exposants institutionnels, exp\u00e9rientiels et partenaires th\u00e9matiques Cette annexe concerne les exposants intervenant dans un cadre non exclusivement marchand, incluant les structures \u00e0 vocation institutionnelle, \u00e9ducative, culturelle, technologique ou interactive, ou toute entit\u00e9 int\u00e9gr\u00e9e \u00e0 une zone th\u00e9matique (gaming, kids, pop culture, \u00e9ducative, immersive, etc.).
