Exhibitor Appendices

This appendix applies to exhibitors registered under the "Artists" or "Creators" category, meaning anyone presenting original or derivative works (prints, illustrations, fanzines, handmade objects, etc.).

A1.1 Original Works and Fan Art

  • All creations must be made by the exhibitor or a clearly identified collective.
  • Fan art is permitted provided it is not a direct reproduction or plagiarism of official works. If there is any doubt, LGX may request the removal of the artwork in question.
  • Fully derivative products (e.g. anime posters with no added creative value) are not allowed.

 

A1.2 Sensitive Content (NSFW, R18, Violence)

  • Works with explicit sexual, suggestive, or violent content must be strictly hidden from public view.
  • They may only be shown at the express request of an adult visitor, with visual age verification.
  • It is prohibited to display such works on walls, open bins, or general display areas.

 

A1.3 Sales and Presentation

  • Products must be clearly labeled with visible pricing.
  • The quantity on display must remain consistent with a handcrafted/artisanal stand.
  • Any activity resembling wholesale trade may be reclassified.
  • Exhibitors are responsible for the quality and safety compliance of the materials used.

 

A1.4 Use of Space and Neighbor Consideration

  • Stands must adhere to the dimensions listed on the exhibitor form.
  • Any use of tall structures, lighting elements, or bulky supports must be approved in advance.
  • Sound and visual levels must not disturb neighboring exhibitors.

A1.5 Behavior and Public Interaction

  • Artists must remain welcoming, available, and respectful throughout public opening hours.
  • Any form of harassment, inappropriate comments, or unprofessional behavior will result in immediate exclusion from the event.

This appendix applies to any exhibitor selling commercial products (new or second-hand), such as merchandise, clothing, games, decorative items, or other goods derived from pop culture.

A2.1 Legal and Tax Obligations

  • Exhibitors must comply with all applicable Luxembourg laws, particularly regarding VAT, invoicing, and intellectual property.
  • Merchants must be able to provide a valid VAT number or proof of professional activity.
  • In case of inspection, LGX accepts no responsibility for the exhibitor’s tax or customs obligations.

 

A2.2 Permitted and Prohibited Products

  • Permitted : Original, official, or handcrafted products, provided copyright and licensing rights are respected.
  • Prohibited : counterfeits, unlicensed copies, pirated products, or any items lacking required legal markings.
  • In case of doubt, the organizers may demand the immediate removal of the product and/or proof of compliance.

 

A2.3 Imitation Weapons and Sensitive Items

  • Decorative weapons (katanas, shurikens, replicas, etc.) are permitted under the following conditions :
    • They must be non-sharp
    • They may only be sold to adults
    • They must be packaged after purchase and may not be worn inside the convention
  • The exhibitor is responsible for any required formalities with police or customs authorities.

 

A2.4 Lucky Bags and Mystery Packs

  • The sale of “lucky bags” is allowed under the following conditions :
    • The contents must match the theme of the convention
    • The value must not be misleading
    • A prior declaration must be submitted to LGX if requested
  • LGX reserves the right to ban any item deemed abusive, dangerous, or inconsistent with the event’s image.

 

A2.5 Stand Display and Use of Space

  • Products must be displayed neatly, with visible pricing.
  • No materials may extend beyond the rented booth space.
  • Unstable, hazardous structures or anything obstructing neighboring stands are strictly prohibited.
  • All merchants must follow the setup and teardown rules outlined in Article 4.

 

A2.6 Responsibility Reminder

  • The exhibitor is solely responsible for all products sold at their booth.
  • LGX assumes no liability in case of commercial disputes or post-sale issues with visitors.

This appendix applies to exhibitors offering takeaway food or beverages, including food trucks, fixed stands, or tasting concepts.

A3.1 Health and Administrative Requirements

  • Food exhibitors must hold all legally required permits related to hygiene, food sales, and mobile operation in Luxembourg.
  • They are solely responsible for ensuring their setup complies with HACCP standards and the food safety of their products.
  • The organizers may request copies of permits or certificates at any time.

 

A3.2 Technical Installations and Utility Access

  • All requests for electricity or water hookups must be submitted in advance.
  • The use of gas bottles or open flame equipment is strictly prohibited without specific authorization from Luxexpo.
  • Food trucks or stands must be stable, secure, clean, and compliant with ventilation and temperature control standards.

 

A3.3 Presentation, Hygiene and Waste Management

  • Staff must wear appropriate attire, including gloves and protective gear when necessary.
  • The serving area must remain clean, with no visible trash or unsecured storage.
  • Each exhibitor is responsible for managing their own waste, including oils, cardboard, and food containers.
  • Penalties may apply for failure to follow disposal procedures or for leaving the area around the stand dirty.

 

A3.4 Sales, Samples and Price Display

  • Prices must be clearly displayed at the stand.
  • Free samples are allowed, provided all hygiene standards are strictly followed.
  • Any free tasting activity must be declared to the organizers in advance.

 

A3.5 Safety and Liability

  • LGX assumes no responsibility in the event of a health issue, food poisoning, or accident related to products sold or distributed at a food stand.

The exhibitor is solely responsible for the quality, traceability, and compliance of their products.

This appendix applies to exhibitors participating in a non-commercial capacity, including institutional, educational, cultural, technological, or interactive entities, as well as any organization featured in a thematic area (e.g. gaming, kids, pop culture, educational, immersive zones, etc.).

A4.1 Stand Objective and Content

  • The primary objective of the stand must be educational, promotional, experiential, or participatory in nature, aligned with LGX’s core themes: innovation, geek culture, digital creativity, learning, family, etc.
  • Product sales are not permitted by default, unless explicitly stated in the agreement.
  • Distribution of materials (flyers, freebies, contests, sign-ups) must be non-intrusive and focused on enhancing the visitor experience.

A4.2 Visibility, Branding and Equipment

  • Institutional partners may benefit from customized visibility options (signage, screens, stage presence, logo displays, branded materials), as defined in their partnership package.
  • All equipment provided by LGX (furniture, screens, booth structures) must be returned in good condition.
  • Installation of specific technical equipment (e.g. interactive terminals, simulators, video games) must be pre-approved and comply with safety and space regulations outlined in the general rules.

A4.3 Programming and Staffing

  • The stand must be staffed by trained, active, and easily identifiable personnel throughout all public opening hours.
  • Any activity offered (games, workshops, demos, awareness campaigns, etc.) must be safe, well-managed, and adapted to high-traffic zones, especially in family-focused or esports areas.

A4.4 Respect for the LGX Environment

  • Institutional or thematic exhibitors agree to uphold the spirit and values of LGX : accessibility, inclusion, positive education, and geek culture.
  • Any activation deemed disruptive, overly aggressive, or misaligned with the event’s atmosphere may be halted without refund.

A5.1 Conditions of the Triennial Commitment

  • The exhibitor benefits from a progressive discount applied to the base stand price :
    • 5% for the 2026 edition;
    • 10% for the 2027 edition
    • 15% for the 2027 edition
  • This commitment must be formalized in writing and may be included in the reservation contract or in a separate signed agreement.

 

A5.2 Automatic Renewal and Priority Booking

  • The exhibitor receives priority access to a stand of equal or larger size within a thematically appropriate zone, subject to the new annual floor plan validation.
  • An early pre-reservation can be activated during the current LGX event via signature or payment of a deposit.
  • This priority remains valid until November 30 following the respective edition. After that date, the location may be reassigned at the organizer’s discretion, based on scenography and layout needs.
  • The organization reserves the right to change the overall layout from year to year to enhance the visitor experience. In this case, an equivalent stand may be proposed in a different thematic zone.

 

A5.3 Additional Benefits

Depending on the terms of the partnership agreement, the exhibitor may benefit from :

  • Enhanced visibility in LGX communication materials
  • Early access to certain services (screens, activations, stage time, etc.)
  • A "Founding Partner" label featured on maps, signage, and official announcements
  • Annual loyalty rewards or additional visibility bonuses

 

A5.4 Termination of Commitment

  • If the exhibitor withdraws before completing all three editions, the previously applied discount may be recalculated, and future editions will be canceled without booking priority.
  • Any withdrawal due to force majeure must be justified and will be reviewed for appropriate adjustment.
